We understand that these announcements are critical and need to be communicated in a timely manner and with thorough information.&nbsp;&nbsp;<\/p>\n\n\n\n<p>In certain types of scheduled maintenance or upgrades, usually once in a quarter, a downtime is required.&nbsp; &nbsp;&nbsp;<\/p>\n\n\n\n<p>We give our users enough lead time notice for planned downtime. This gives them enough time to prepare themselves and to mitigate the effect on their work environment. In most cases, multiple emails are sent&nbsp; as we completely understand that not all users will remember a single notice. Following communication schedule is followed:&nbsp;<\/p>\n\n\n\n<ul>\n<li>One a month in advance<\/li>\n\n\n\n<li>One a week ahead of time<\/li>\n\n\n\n<li>One a few days ahead of time<\/li>\n\n\n\n<li>One the day before<\/li>\n\n\n\n<li>One the day of the planned downtime<\/li>\n<\/ul>\n\n\n\n<p>A notice is also placed on our web applications about the upcoming downtime on main start page a few days ahead of time, so that the users are able to plan their work around the downtime.&nbsp;<\/p>\n\n\n\n<p>These notices primarily contain the exact start time and an estimated end time of the scheduled maintenance window. The time is specified along with the time zone so that users across the globe can plan their work accordingly.&nbsp;<\/p>\n\n\n\n<p>The notices also contain a support desk contact name\/number to provide any assistance if required.<\/p>\n\n\n\n<p>The notices, sometimes, may also contain the action items that the users need to take with very clear instructions on what to do.&nbsp;<\/p>\n\n\n\n<p>Our decimated fleet of Account and Operations Managers are in touch with all of customers\u2019 POCs to ensure that the announcement is well received in advance without any effect on our customers operations. Once the system is back online, a follow-up email is sent to all the users so that they can continue with their work on the system.
